Approve time requests (manager)
This article shows you how to approve your team's time. TaskFlow doesn't ask people to submit a whole week for sign-off. Instead, each change that needs approval arrives as its own time request, and you approve or reject it.
Who can approve time
Managers can open the time requests page. If your workspace has named specific approvers for time requests, only they can approve or reject them. Everyone else sees "Only designated approvers can act on time requests." See Choose who approves.
What reaches you
A time request is created when someone:
- logs time by hand and your workspace requires approval for it;
- trims, moves, re-dates or edits an entry that's already saved (see Fix logged time);
- logs time that would go over a task's approved hours, if your workspace turns on Going over approved hours needs approval.
Time captured automatically from a timer that was left running can also appear here.
Which of these need approval depends on your workspace settings. See What needs approval.
Open the queue
- In the sidebar, click Tasks & Approvals.
- At the top, click Adjustment Queue. A number on the button shows how many requests are waiting.
You can also click the notification you get when someone sends a time request.
The Pending time-entry adjustments page, with one request card showing the person, the amount, the task, the reason and the Approve and Reject buttons.
Read a request
Each card starts with who is asking and what they want, for example "wants to log 1h 30m" or "wants to edit this entry". Below that you see:
- Log: the Task and When (the date and time range).
- Trim: the task under From, with "No destination — trim only."
- Move: the task it comes From and the task it goes To.
- Re-date: the Task and the New date.
- Edit: the Task and the New values (hours, date, time range and note).
Each card also says whether the time is on the Main task or a subtask. If the person wrote a reason, it appears under Reason.
If a person has two or more log requests waiting on the same task, the card warns you. Approving all of them adds them together, so check whether the later one was meant to replace the earlier one.
To change the order, use Sort (Newest requested, Oldest requested, Most time, Least time or By action).
Approve a request
Click Approve. The change applies straight away: new time is added, trimmed time is removed, and moved or re-dated time changes place. The person's timesheet shows the result.
If TaskFlow can't apply it, the reason appears at the top of the page.
Reject a request
- Click Reject.
- Type a reason. It's required, and the person sees it on their request.
- Click Reject.
Nothing changes in the person's time.
Approve several at once
Tick the box on each card, click Approve selected, check the Approve time requests window and confirm. Some requests, such as edits and time captured from a timer left running, must be approved one at a time. See Approving many requests at once.
Good to know
- If the entry a request refers to has been deleted, the card says "The time entry this refers to was deleted. This request can no longer be applied." You can only reject it.
- If your workspace has Time-entry adjustment requests turned off, members don't send these requests. The page says so, and anything listed was captured from a timer left running. Its owner can confirm or correct it, so you don't need to act.
- To check a person's hours before you decide, open the Team tab in Timesheets, if you have access to it. See The team timesheet.
