What is TaskFlow?

This article explains what TaskFlow is for, the main ideas behind it, and where to go next. Read it first if you are new.

TaskFlow is where your team plans work, agrees on how many hours it should take, and tracks the time actually spent. It joins three things that are usually spread across different tools: a task list, an approval process and a timesheet.

The big idea: approved hours

In TaskFlow, a piece of work usually starts as a request. Someone describes the task and estimates the hours. A manager reviews it and approves it, asks for changes or rejects it. Once it is approved, the hours become the task's budget, and everyone can see how much time has been logged against it.

This means managers know what work is coming before it starts, and team members know exactly how much time they have for each task.

How work is organized

  • Workspace – your team's own area in TaskFlow, with its own members, tasks and settings. You can belong to more than one workspace and switch between them.
  • Spaces, projects and lists – the folders inside a workspace. A space holds projects, a project holds lists, and a list holds tasks. See Organize work into spaces, projects and lists.
  • Tasks and subtasks – the actual work. A task can be split into subtasks, each with its own hours and assignees.

Tracking time

You log time against a task either by running a live timer or by entering the time by hand. TaskFlow compares what you logged with the approved hours, so you can see at a glance how much time is left. See Run a timer.

Who does what

  • Members request tasks, work on the tasks assigned to them and log their time.
  • Managers review and approve requests, create and assign tasks, and keep an eye on the team.
  • Admins and owners set up the workspace, invite people and choose the settings.

See Roles: owner, admin, manager and member for the details.
