What needs approval: approval settings (admin)

This article shows you how to choose which actions in your workspace need a manager's approval. Anything you don't require approval for is saved straight away.

Owners, admins and workspace managers can change these settings.

Open the settings

  1. In the sidebar, click Workspace.
  2. Stay on the General tab and scroll to Approval requirements.

Approval requirements

Tick a box to require approval. Untick it to let that action apply immediately.

  • Tasks (creation and edits): new task requests and edits to existing tasks.
  • Subtask changes: adding, editing or deleting a subtask on an existing task.
  • Space / Project / List creation: requests for a new space, project or list.
  • Archive a task.
  • Delete a task: restore requests follow this setting too.
  • Recurring schedules: a new repeating schedule waits for approval before it starts creating tasks.

Time approvals

Time settings are in the Features section of the same tab:

  • Manual time entry: choose Allowed, Needs approval or Off for time members add by hand.
  • Time-entry adjustment requests: lets members ask to change logged time. When it's on, you can choose which actions need approval: trimming, moving or re-dating, editing an entry, and logging new time by hand.
  • Going over approved hours needs approval: time that would push a task past its approved hours goes to an approver first.

For details, see Time entry rules.

Save your changes

Click Save Settings at the bottom of the tab.

Good to know

  • Managers' own changes generally apply straight away, without waiting for approval.
  • If an approval type is turned on but nobody can approve it, TaskFlow shows a warning: "Nobody in this workspace can approve these requests". Make someone a manager under Members, name an approver, or turn the requirement off.
  • To choose who approves each type, see Choose who approves.
