Export to CSV or Excel
This article shows you every way to get your TaskFlow data out as a file: the Export page, the quick Export button on task lists, and the exports on Timesheets.
Which export should I use?
- Export page: tasks or time entries with the columns and filters you choose. For owners, admins and managers.
- Export button on a task list or task page: the tasks you're looking at, in one click.
- Timesheets: your weekly or monthly grid, or the totals from the Report tab.
All of them download a file to your computer.
The Export page
You'll see Export in the sidebar if you're an owner, admin or manager.
- In the sidebar, click Export.
- Under What would you like to export?, pick one:
- Tasks
- Time Entries
- Spaces & Projects: your spaces, projects and lists, with a task count for each.
- Recurring Schedules
- Full Workspace Backup: everything in the workspace as one JSON file.
- Under Export format, choose CSV, JSON or Excel.
- Under Fields, tick the columns you want. Use Select All or Deselect All to go faster. At least one field must stay ticked.
- Add filters if you need them (see below). The bar underneath shows how many records match.
- Click Export.
Fields marked JSON/Excel, like Comments, only appear when you choose JSON or Excel. TaskFlow remembers your format and fields for next time.
The Export Data page with Time Entries selected, the CSV, JSON and Excel buttons, the Fields list and the Filters panel.
Options next to the Export button
- All users or Assigned to me: for Tasks and Time Entries. All users exports everyone's records. Assigned to me keeps tasks you requested or are assigned to, or only your own time entries.
- Include archived items: adds archived tasks, spaces, projects and lists.
- Consolidate by task: for Time Entries only. It merges each person's entries on the same task into one row and adds up the hours. The date becomes a range, and start and end times are left blank.
Full Workspace Backup
Pick Full Workspace Backup and click Start Backup. You get one JSON file with tasks, time entries, spaces, projects, lists, templates, custom fields, tags and recurring schedules. It's meant for keeping a copy, not for reading in a spreadsheet.
Filter what you export
- In the Filters panel, click Add Filter. A new row appears.
- In the row's first box, choose what to filter by.
- Choose the values or dates.
- Repeat for more filters. A record has to match all of them.
To remove one filter, click the X at the end of its row. Clear Filters removes them all.
The filters depend on what you're exporting:
- Tasks: Status, Priority, Assignee, Requester, Space, Project, List, Tags, Created Date, Deadline and Completed Date.
- Time Entries: Date Range, Employee, Source, Space, Project and List.
- Recurring Schedules: Status, Frequency, Priority, Assignee, Created Date and Next Run Date.
Your workspace's custom fields can also be used as filters for tasks and time entries.
Filter by how the time was logged
The Source filter for time entries shows how each entry was captured:
- Timer: from a timer.
- Manual: added by hand.
- Timesheet: entered on the timesheet.
- Moved: moved over from another task.
The file has a Source column with the same values.
Example: manual time in a period
- Pick Time Entries.
- Click Add Filter. Leave the row on Date Range and pick the first and last day.
- Click Add Filter again. Change the new row to Source and tick Manual.
- Click Export.
Save filters you use often
- Set up the fields, filters and options.
- At the top right, click Saved Filters, then Save Current Filters.
- Type a name and click Save Filter.
Next time, click Saved Filters and pick the name to load it. Saved filters are yours and belong to one export type, so a time-entry filter only shows when Time Entries is selected. You can keep up to 25.
Recent Exports
Each file you export shows under Recent Exports. Click Re-download to get a file again. The list clears when you leave the page.
The Export button on task lists
You don't need the Export page to export a list of tasks. On Tasks & Approvals, My Tasks & Requests and a list's page, click Export at the top and pick CSV, JSON or Excel. You get the tasks currently shown, with the standard columns.
On a task's page, Export downloads that one task. In JSON or Excel it includes its comments, subtasks, checklists and attachments.
Export from Timesheets
On Timesheets:
- On the Personal tab, or the Team tab once you pick a person, click Export CSV to download the grid for the week or month on screen. Export PDF opens your browser's print window, where you can save it as a PDF.
- On the Report or My report tab, set your dates and filters, then click Export CSV. The file has the totals the report shows, including the Source you picked.
See My report and Team timesheet.
Google Sheets
TaskFlow doesn't send data straight to Google Sheets. To work in Sheets, export a CSV or Excel file, then open it in Google Sheets: click File > Import and upload the file.
