Choose who approves each type of request (admin)
This article shows you how to name specific people as approvers for each type of request. If you don't name anyone, any manager in the workspace can approve.
Only workspace owners and admins can change this.
The four request types
- Task requests: new tasks and edits to tasks.
- Subtask requests: adding, editing or deleting subtasks.
- Time requests: logging time by hand, fixing logged time and asking for more hours.
- Space / Project / List changes + archive: structure requests, archive requests and template share requests.
Name approvers
- In the sidebar, click Workspace.
- On the General tab, scroll to Approval routing.
- Under the request type you want, click Add approver.
- Search for a member and click their name. Add as many as you need, then click Close.
- Click Save next to that request type.
To remove someone, click the x on their name and click Save.

How the list works
- Empty list: any manager in the workspace can approve that type. The section says "No specific approvers — any manager can approve."
- Task requests and Time requests are strict. Once you name people, only they can approve. Owners and admins can't step in.
- Subtask requests and Space / Project / List changes + archive are more flexible. The people you name can approve, and so can workspace owners and admins.
People who aren't approvers for a type see a note such as "Only designated approvers can approve or reject task requests" instead of the buttons.
Tips
- Name at least two people for strict types, so requests don't get stuck when someone is away.
- If a named approver leaves the workspace, TaskFlow warns you under Approval requirements. Add someone new or turn the requirement off.
- Approvers also get a daily reminder of requests that have been waiting. See The daily approvals summary email.
- To choose what needs approval, see What needs approval.
