Who can see everyone's hours (admin)

This article explains who can see other people's timesheets in TaskFlow, and how to choose who gets that view in your workspace.

Owners and admins can change this setting.

Who sees what by default

Everyone can see their own time on Timesheets. Seeing other people's time depends on your role:

  • Managers see the Team tab, where they can open anyone's timesheet, and the Report tab with everyone's time.
  • Owners and admins see the Report tab with everyone's time. They only get the Team tab if their Manager switch is on, or if you add them to the list below.
  • Members see their own time only. Their report tab is called My report.

Choose who can see every timesheet

  1. In the sidebar, click Workspace.
  2. Stay on the General tab and scroll to Timesheet visibility.
  3. Under Roles, tick Owners, Admins or Managers.
  4. Under Specific users, click Add user, search for a person and click their name. To take someone off, click the X next to their name.
  5. Click Save visibility.

How the list works

  • An empty list keeps the default: only managers get the Team tab.
  • Once you add anyone, only the list counts. If you add one person and don't tick Managers, managers lose the Team tab. Tick Managers too if they should keep it.
  • Managers means everyone with the Manager switch on, whatever their role.
  • Use Specific users to give the view to a member without making them a manager, for example someone who prepares payroll.

What people on the list get

  • The Team tab on Timesheets, to open any person's week or month.
  • The Report tab with everyone's time, instead of My report.
  • On the Calendar tab, they can choose another person. Everyone else sees only their own calendar.

Being on the list doesn't let anyone approve time. To choose who approves, see Choose who approves.

Private tasks

If a task is private, its time stays private too. People who can't open the task don't see other people's time on it, even if they're on this list. Owners, admins and managers can open every task, so they still see that time.

To keep the time on a task away from people, make the task private. The visibility list only decides who gets the team views in Timesheets.
