Request a task, or create and assign one

This article shows you how to ask for a new task, and how managers create a task and assign it straight away.

Which form you get

TaskFlow has two forms for new tasks. Which one opens depends on your role:

  • Members get New Task Request. You describe the work and send it to a manager, who approves it.
  • Managers get Create & Assign Task. The task is created and assigned straight away, with no approval step.

Request a task

  1. Click My Tasks & Requests in the sidebar, then click New Request. Or open a list and click New Task, and the list is filled in for you.
  2. Optionally, pick a template under Start from a template to fill in the form. See Task templates.
  3. Enter the Task Name and a Description of the work. Add a Justification if you want to explain why the work is needed.
  4. Choose the Task Type, Priority and Department.
  5. In Send to Manager, pick who should approve it.
  6. Under Location, choose the space, project and list the task belongs in.
  7. Under Assignee, choose who should do the work. This can be you.
  8. Enter the hours you expect the work to take, for example 4h or 2h 30m. Add a Due Date if there is one.
  9. If the work has parts, add Subtasks. See Subtasks and assignees.
  10. Click Submit for Approval.

The Request Summary on the right shows what you're asking for, including the Total Requested hours.

If you leave the page, your draft is saved on this device and restored when you come back.

What's required

Fields marked with a red asterisk must be filled in. The Task Name and the space, project and list are always required. Your workspace decides the rest. By default the description, the hours, an assignee and an approving manager are required.

A task with no hours: if your workspace doesn't require hours, you can leave them empty. The task is then simply not estimated.

More options on the form

  • Make this task private: hides the task from everyone except admins, managers, you, the assignees, and anyone you add under Extra users with access.
  • Repeat (recurring task): turns the request into a repeating task. See Repeating tasks.
  • Attachments: add files. They're uploaded when you submit.
  • Deliverables: if your workspace uses products and deliverables, link the task to them. See Products and deliverables.

What happens next

If your workspace requires approval for new tasks, your request shows as Pending in My Tasks & Requests and the manager is notified. If it doesn't, the task is created right away and is ready to work on.

While a request is waiting, open it and click Edit to change it, or Cancel Request to withdraw it. If the manager asks for changes, click Edit & Resubmit, update the request and click Resubmit for Approval.

See How approvals work.

Create and assign a task (managers)

  1. Click Tasks & Approvals in the sidebar, then click New Request. Or open a list and click New Task.
  2. The Create & Assign Task form opens. Fill in the task details, the location, the hours and any subtasks, as described above.
  3. Under Assign To, pick the people who will do the work.
  4. Click Create & Assign Task.

The task is approved and assigned at once, and the assignees are notified. Your workspace's required fields apply here too, except the approving manager: you are the approver.
