Favorites and the pop-out window

This article shows you how to keep the things you use most one click away, and how to start timers from a small window that floats over your other apps.

Add a favorite

Click the star next to an item. It turns yellow and the item appears in the Favorites section at the top of the sidebar. You can star:

  • Tasks – on the task's page, or next to the task in My Tasks & Requests or Tasks & Approvals.
  • Subtasks – in the subtask list on a task's page.
  • Spaces, projects and lists – hover over them in the sidebar's Spaces section and click the star.

To remove a favorite, click the star again, or hover over it in the sidebar and click Remove from favorites.

Use your favorites

  • Click a favorite to open it. A subtask favorite opens its parent task.
  • Task and subtask favorites have a timer button, so you can start tracking time without opening the task. See Run a timer.

Favorites are kept separately for each workspace, and you can have up to 25 in each.

Folders

If your workspace has Favorites folders turned on, you can group favorites into folders. Click New folder in the Favorites header, then use Move to folder on any favorite. You can rename and delete folders, and drag them to change their order.

The pop-out window

The pop-out puts your favorite tasks and their timers in a small window that stays on top of your other apps. It's handy when you work in other programs all day and don't want to keep switching back to TaskFlow.

  1. In the sidebar, click the pop-out button in the Favorites header.
  2. A small Quick Timers window opens.
  3. Click the start button next to a task or subtask to start its timer. If a task has subtasks, expand it to start a timer on one of them.

While a timer runs, the window shows the task and the time so far, with buttons to pause, resume and stop. Stopping saves your time entry, just like in TaskFlow.

To close the window, close it directly or click the pop-out button again.

Good to know

  • The pop-out works in Chrome, Edge and Brave. In other browsers the button doesn't appear.
  • Only one pop-out window can be open at a time. If TaskFlow can't open it, close any other picture-in-picture window (such as a video) and try again.
  • The Favorites section, and its pop-out button, is hidden when the sidebar is collapsed to icons.
  • If your task reaches its approved hours, the window tells you. Open TaskFlow to ask for more time. See Ask for more hours.
