Invite your team (admin)
This article shows workspace owners and admins how to invite people to a workspace, follow up on invitations, and set each person's role.
Send invitations
- Click Workspace in the sidebar and open the Members tab.
- Click Invite Members.
- Type one or more email addresses. You can separate them with commas, semicolons or spaces. Click Add.
- Choose a Default Role for New Invites: Admin or Member. You can also change the role for each person in the list.
- Click Send Invitations.
Each person gets an email with a link to join. If an email couldn't be sent, TaskFlow tells you. Click Copy link and share the link with them directly.
The Invite Members window with two email addresses added, each with a role dropdown, and the Send Invitations button.
What your teammates do
- They open the link in the email.
- They sign in with the same email address the invitation was sent to, using Google, Microsoft or email and password. See Create your account.
- They join the workspace automatically.
If they sign in to TaskFlow without using the link, the invitation still waits for them, with an Accept button, in the workspace switcher at the top of the sidebar (or on the No Workspaces Yet screen if this is their first workspace).
Invitations expire after 7 days.
Follow up on pending invitations
On the Members tab, Pending Invitations lists everyone who hasn't joined yet. For each invitation you can:
- Copy link – share the invite link yourself.
- Resend – send the email again with a fresh link.
- Cancel – withdraw the invitation.
Use Resend All or Cancel All to act on all of them at once.
After people join
Everyone who has joined appears in the members table. There you can:
- Change their Role between Admin and Member.
- Turn on the Manager switch for people who should approve requests.
- Turn on the Watcher switch for people who need to see the workspace but don't do tracked work in it. Watchers aren't offered as assignees and don't count in team stats.
- Set Hours / week if someone works less or more than the 40-hour default.
- Remove someone from the workspace with the Remove member button.
See Roles: owner, admin, manager and member to decide who should have which role.

Good to know
- Only owners and admins can invite or remove people.
- Roles and the Manager switch apply to this workspace only. Someone can be a manager in one workspace and a member in another.
