Your first task, start to finish
This article takes you through the whole life of a task: requesting it, getting it approved, working on it, logging your time and marking it complete.
1. Request the task
- Click My Tasks & Requests in the sidebar, then click New Request. (You can also open a list and click New Task. The list is then filled in for you.)
- Optionally, pick a template under Start from a template to fill in the form for you.
- Fill in the Task Name and a Description of the work.
- Choose the Task Type, Priority and Department.
- Under Location, choose the space, project and list the task belongs in.
- In Send to Manager, pick who should approve it.
- Choose the Assignee, the person who will do the work. This can be you.
- Enter the hours you expect it to take. If the work has parts, add Subtasks, each with its own hours and assignee.
- Click Submit for Approval.
Fields marked with a red asterisk are required. Your workspace may require others too, such as a due date.
The New Task Request form filled in, with the Submit for Approval button at the bottom.
2. Wait for approval
Your request now shows as Pending in My Tasks & Requests, and the manager is notified. When they decide, you get a notification:
- Approved – you're ready to start.
- Changes requested – open the task, read the feedback, make the changes and click Resubmit for Approval.
- Rejected – the reason is shown on the task.
If your workspace doesn't require approval for new tasks, your task skips this step.
You can't track time on a task until it's approved, unless it's marked Urgent. See How approvals work.
3. Start working
- Open the task from My Work or My Tasks & Requests.
- Click Start Work. The status changes to In Progress.
If the work gets blocked, use Put On Hold, Flag At Risk or Update Required so your manager knows.
4. Log your time
Start the timer on the task while you work, and stop it when you finish. Or, if you forgot, enter the time by hand. The progress bar on the task shows your logged hours against the approved hours.
5. Mark it complete
When the work is done, click Mark Complete. If you need to pick it up again later, click Reopen.

For managers
On Tasks & Approvals, clicking New Request opens Create & Assign Task. Tasks you create there are assigned straight away, without waiting for approval. Click Create & Assign Task at the bottom of the form to finish.
