Your timesheet: day, week and schedule views

Your timesheet shows all the time you've logged, a week or a month at a time. This article shows you how to read it, switch between its views, and add or change time from it.

Open your timesheet

  1. In the sidebar, click Timesheets.
  2. Stay on the Personal tab. It shows only your own time.

If you don't see Timesheets in your sidebar, your workspace may have hidden it for your role. Ask an admin.

Pick the period

  • Weekly shows one week, Monday to Sunday.
  • Monthly shows a whole month, with one column per week.

Use the arrows to go back or forward, and click Today to return to the current week or month. The dates you're looking at appear next to the arrows.

The Monthly view is read-only. Switch to Weekly to add or change time.

Choose a view

Next to Weekly and Monthly, pick how to show your time:

  • Table: one row per task and one column per day, with totals.
  • List: your time grouped by date, with each day's total and a Total Tracked line at the bottom. Click a date to collapse or expand it.
  • Schedule: an hour-by-hour timeline of your day or week.

You can also narrow the timesheet with All locations (one space, project or list) and, if your workspace has custom fields, Advanced Filters.

Read the Table view

  • Each row is a task you logged time on in that period. The space, project and list show under its name. Time on a subtask gets its own row under the task.
  • Click a task name to open the task.
  • Click the arrow next to a task to see its individual entries. Expand all opens every row at once.
  • Use the sort menu to order rows by Title A–Z, Title Z–A, Most Hours or Least Hours.
  • The Totals row is coloured against your weekly capacity (40 hours unless your workspace set a different one): On target (80-100%), Under capacity (<80%) or Over capacity (>100%). In the Weekly view, each day is compared with a fifth of the week.

Add or change time in the Table

In the Weekly view:

  1. Click a day's cell on a task's row.
  2. Type the time, for example 1:30, 1h 30m, 90m or 1.5.
  3. Press Enter to save. Press Tab to save and move to the next day, or Esc to cancel.

What you type replaces the time already in that cell. To remove a day's time, clear the cell or type 0.

Only tasks you've already logged time on that week have a row. To log time on a different task, use the Schedule view (below) or log it from the task. See Log time by hand.

To change a single entry, click the arrow on the row and use Edit entry or Delete entry. In the List view you can also click a task's time for a day and type a new total.

Good to know:

  • If your workspace needs approval for changes to logged time, your change goes to a manager as a request. The timesheet keeps the old number until it's approved. To change an entry's notes, date or times in that case, open the entry from the task page. See Fix logged time.
  • If manual time entry is off in your workspace, you can't type new hours here. Use the timer instead.
  • TaskFlow may ask Does this look right? for a very long entry or day. See Log time by hand.

Use the Schedule view

The Schedule view places each entry on a timeline by its start and end time. Each task has its own colour.

  • Click Week to see seven days, or Day to see one day. In Day, use the arrows next to the date to move between days.
  • Click an entry to open its task.
  • Entries without a start and end time, such as time typed into the Table, can't be placed on the timeline. Instead, the day shows a count, such as +2 unscheduled.

To log time in an empty slot:

  1. Use the Weekly period. Empty gaps between 07:00 and 19:00 show as dashed boxes.
  2. Click a gap. The Log time window opens with the Date, Start and End filled in. Change them if you need to.
  3. Under Task, search for and click the task. The list shows the tasks you can log time on.
  4. If the task has subtasks, pick one under Scope, or leave Main task.
  5. Add a note under Notes (optional) if you like.
  6. Click Save, or Submit for approval if your workspace needs approval for time added by hand. The top of the window tells you which one applies.

See how your time was captured

When you have time in the period, a Time by Source panel appears above your timesheet. Click its title to open or close it. It splits your hours into:

  • Timer: time from a timer you stopped.
  • Manual: time typed in by hand, including the Schedule view's Log time window.
  • Timesheet: time typed into the Table.
  • Moved: time moved over from another task.

If any changes to your time were approved in the period, an Adjustments by type panel appears next to it. It counts them as Trimmed, Moved / re-dated, Edited and Logged (manual).

The Calendar tab

The Calendar tab shows each entry as a card on the day you worked it. Pick Day, Week, Month or Custom dates. The card's colour shows the task's priority, and the top right shows how much time is Tracked.
