Who can log time on a task
Not everyone can log time on every task. This article explains who can, and how a manager can open a task, list, space or the whole workspace so anyone can log time.
The basic rule
Managers, admins and owners can log time on any task.
A member can track, log and adjust time on a task when they are:
- assigned to the task, or to one of its subtasks;
- the person who requested the task;
- working on an Urgent task (open to everyone);
- working on a task where Anyone can log time is turned on.
The same rule decides which tasks you can pick when you log time from Timesheets or move time to another task.
On a subtask, the subtask's own assignees can log time, plus the task's requester, its main assignees, and anyone on an urgent task.
Other things that block time tracking
Even if you're allowed to log time, the timer and manual entry are off when:
- the task hasn't been approved yet (unless it's Urgent);
- an approver has paused the task.
"Anyone can log time"
Sometimes work is shared: anyone on the team might pitch in. A manager, admin or owner can open it up so every member of the workspace can log time, assigned or not. You can turn it on at four levels:
- The whole workspace: go to Workspace in the sidebar, open the General tab, and under Features tick Anyone can log time on any task.
- A space: edit the space and tick Anyone can log time in this space.
- A list: edit the list and tick Anyone can log time in this list.
- A single task: open the task and, in Time Tracking Progress, tick Anyone can log time on this task.
The "Anyone can log time in this list" checkbox in the list edit window.
If it's already on for the task's list, space or workspace, the task page says so instead of showing the checkbox.
What it doesn't change
Anyone can log time only changes who may log. Approval rules stay the same. Time that needs a manager's approval, such as time over the approved hours, still does.
