Low-hours reminder (admin)

The low-hours reminder nudges people who haven't logged much time by the end of the day, so timesheets stay complete. This article shows you how to turn it on and check who was reminded.

Turn it on

  1. Click Workspace in the sidebar and open the General tab.
  2. Find Low-Hours Reminder and tick Remind members who logged few hours today.
  3. Set Remind below (hours). The default is 1 hour.
  4. Choose Send at. The default is 5:00 PM, in the workspace's timezone.
  5. Save your changes.

Managers, admins and owners can change this setting. It's off by default.

How it works

Monday to Friday, at the time you chose, TaskFlow checks each member's time for that day in this workspace only. Anyone below the limit gets a reminder by email, in-app notification and push notification.

  • Hours waiting for approval count as logged.
  • Anyone with a timer running at that moment is skipped.
  • Only regular members are reminded. People marked Manager in the workspace, owners, admins and watchers are not.

Members marked Manager (who can see the team's timesheets) get one summary of who was reminded. Owners and admins without the Manager mark don't get the summary.

Check who was reminded

Under the same section, click Reminders sent. Choose Last 7, 14 or 30 days. The table shows:

  • Person
  • Logged when reminded
  • Read in TaskFlow — whether they opened the reminder in the app
  • Logged afterwards — the hours they logged for that day after the reminder

Email opens aren't tracked. Only people who can see everyone's timesheets in the workspace can see this table.

Turning it off for yourself

Each person can turn off their own reminder in Settings → Notification Preferences, under Time Tracking (Few Hours Logged Today). Managers can turn off the summary under Manager Digests (Team Low Hours Today).
