Quick Add: create a task in seconds

Quick Add lets you create a task from just its name, without opening the full form. This article shows you where to find it and how to use it.

Before you start

Quick Add is off by default. If you don't see it, ask an admin to turn it on: in the sidebar, click Workspace, tick Quick Add tasks on the General tab, and click Save Settings.

Where you'll find it

When Quick Add is on, an Add task box appears at the top of:

  • My Tasks & Requests. Tasks you add here are assigned to you.
  • Kanban Board, Timeline, Calendar and Timesheets.
  • Tasks & Approvals, and a list's page, for managers and admins.

Add a task

  1. Click in the box that says Add task — type a name and press Enter.
  2. Type the task name.
  3. Check where it will be saved. The line under the box says Saves to and shows the space, project and list. To change it, click the list button inside the box and search for another list. On a list's page, the task always goes into that list.
  4. Press Enter or click Add.

The box stays open, so you can type the next task straight away. TaskFlow remembers the last list you used.

Optional extras

Inside the box you can also:

  • Type the hours you expect in the hrs box.
  • Pick a template to fill in the whole task. A name you type replaces the template's name. See Task templates.
  • Switch between a task and a checklist item, if your workspace has the checklist item type. See Checklists and checklist items.

On the Kanban Board, Timeline, Calendar and Timesheets, click More options to set the Priority, Due date, Assignee(s) and a Description. Click Open full form to switch to the full form with the same location filled in.

On the Calendar, a new task is due on the day shown above the box. Click a day's + to change it.

What happens next

Quick Add follows the same approval rules as the full form:

  • If your workspace requires approval for new tasks, your task goes to an approver as a request.
  • If it doesn't, the task is created right away.
  • If you're a manager who can approve tasks, your own quick tasks are approved straight away.

Quick Add only needs a name. Open the task afterwards to add a description, subtasks, attachments and anything else.
