The daily approvals summary email (manager)

This article explains the daily reminder TaskFlow sends approvers about requests that are still waiting, and how to act on it.

What it is

When a request is made, approvers are told about it right away. But a notification can get buried. So once a day, TaskFlow reminds each approver of what is still waiting for them.

The reminder is sent once a day, in the morning (08:00 UTC). It arrives as:

  • an email with the subject "N requests waiting for your approval"
  • an in-app notification titled Waiting for your approval
  • a push notification, if you have push turned on

What it includes

The reminder lists how many requests of each type are waiting and how old the oldest is. For example: "3 time requests (oldest 2 days)". The types are:

  • task approvals
  • time requests
  • space and list requests
  • template share requests

It doesn't repeat the details of each request. Open TaskFlow to see them.

Who gets it

  • Only people who can approve at least one type of request.
  • Each person only hears about the types they can approve. If you approve time requests but not structure changes, you won't be told about spaces.
  • Only requests that have been waiting more than about a day are counted. Newer ones were already announced.
  • If nothing is waiting for you, nothing is sent.

Act on it

Open TaskFlow and go to the right place for each type:

  • Task approvals: Tasks & Approvals in the sidebar.
  • Time requests: Adjustment Queue, at the top of Tasks & Approvals.
  • Space, list and template share requests: the Approvals tab on Spaces.

To clear several at once, see Approving many requests at once.

Turn it off

There's no separate switch for this reminder. If you mute all notifications in your notification settings, it stops too. See Notifications.

If requests keep piling up for one person, an admin can add more approvers. See Choose who approves.
